About the Job:
Execute contract formulation activities including preparation or compilation of request for information, proposals and quotations, preparation of letter of intent and preparation or compilation of final contract document. This role will also be responsible to review and control invoices and associated correspondence submitted as per guidelines set by HAKA Group.
Job Responsibilities:
Contract Management Strategy
•Support development of a contract management strategy and look for digitizing contract management to improve operational efficiency.
•Prepare reports regarding day-to-day contract management activities to ensure risk compliance and ensure compliance with Service Level Agreements (SLAs) or deadlines (if applicable) with other functions.
Commercial Document Preparation & Reporting
•Study, analyze and evaluate tender documents in order to list exact technical and commercial requirements and associated timelines; additionally, ensuring that technical terms comply with HAKA service provisions.
•Prepare all responses to RFPs/RFQs/RFIs in a manner conducive to profitability and risk compliance and ensuring that all contractual requirements and clauses are met.
•Monitor updates on proposals/opportunities and enter relevant sales information/contracting.
•Generate weekly/monthly tender status reports highlighting progress on concerned tenders.
Bidding & Tendering Process Management
•Maintain a library of contracts, contract documents, relevant forms, and history of contract revisions.
•Compile a contract management best practices framework in order to drive contract management excellence in collaboration with the reporting manager.
•Review and draft contractual correspondences from/to suppliers/customers and additionally validate the contractual merits of claims and variations.
•Maintain certificate of expiry (Commercial Register – GOSI – Saudiazation) and coordinate with the Admin team for renewals.
•Validate contractual deductions / retentions against invoices and coordinate with subcontractors to amend invoices containing contractual comments and corrections.
Continuous Improvement
•Continuously monitor the Contract Management and Sales systems, processes, and workflows in order to identify improvement opportunities.
•Review, approve, and oversee the implementation of the opportunities recommended by subordinates to achieve cost and operational efficiencies.
People Development
•Provide guidance, encourage teamwork, provide formal and informal feedback and appraisal, and facilitate work processes to ensure reliable outcomes, achieve high performance standards and motivate staff and retain staff.
Quality, Health, Safety and Environment (QHSE) Sustainability
•Ensure compliance to all relevant quality, health, safety and environmental management policies, procedures, and controls across the project team to guarantee employee safety, legislative compliance, delivery of high-quality products/service and a responsible environmental attitude.
Change Management
•Manage self during a change and identify opportunities to take part in change initiatives, programs and projects that reflect international best practices and changes in the competitive environment.

Minimum Qualification & Experience:
-Bachelor’s degree in Business Administration, Industrial Management, Accounting or any similar discipline from a recognized academic institution
-4-6 years of experience in a similar function with at least 3 years in a managerial role.
-Prior experience in the manpower services or similar sector is preferable.
